The challenge
Where the time was going
- Every new project meant the same manual set-up: create folders, invite people, book a kickoff, remember reporting dates.
- Documents lived in personal drives, so finding the latest survey data took time.
- Deadlines for reports and permits were tracked in memory and in separate calendars.

A standard Drive structure (proposal, survey data, reports, permits) created and linked from the project.
Project channel
A Slack channel per project with the team invited and a kickoff message that links to the task list.
Meetings and reminders
Kickoff and milestone meetings created with invites, plus email reminders before each deadline.
